HubSpot customer agent: check the subscription and deployment mode

HubSpot documents customer-agent access with eligible Professional or Enterprise subscriptions. Its live deployment uses HubSpot Credits for resolutions; reply recommendations for staff do not consume those credits. Budget for the required subscription and seats as well as usage. Do not assume a free CRM account or Starter seat includes this setup.

Our fit assessment: investigate it when customer records and support already sit in HubSpot, or when there is a separate business case for moving there. Verify channel access, the actual credit allowance, and handoff settings in the proposed account. HubSpot offers routing to a person and configurable behavior when staff are unavailable. A setting that keeps the agent assigned needs deliberate review, not automatic acceptance.

Intercom Fin: read the outcome definition, not only the headline rate

Intercom's current outcome documentation lists $0.99 for a resolution, a configured Procedure handoff, or disqualification, and $9.99 for a sales qualification. Those published rates apply to chat and email used with Intercom; voice, high-volume, or other arrangements need their own terms. A configured Procedure handoff can be billable even though a person takes over. Ordinary escalation is different.

Our fit assessment: investigate Fin for an Intercom-centered service operation with a defined inbox and escalation process. Do not summarize every Fin interaction as a $0.99 fully automated resolution. Add the required help-desk plan, seats, implementation, and any connected services to the estimate. Check usage limits and which outcome types the proposed workflow can generate before deployment.

Tidio Lyro: distinguish the free allowance from ongoing usage

Tidio documents Lyro as a customer-facing agent using supplied knowledge, with configurable handoff and connections through Actions. Its initial free allowance is 50 AI conversations and does not renew. A paid Lyro package provides a recurring quota. The AI allowance is not interchangeable with the quota for person-to-person support conversations.

Our fit assessment: investigate Lyro when website chat and a live-agent inbox are central to the job. Check the channel and integration you actually need, not just whether the website can display a widget. Tidio counts a new thread in which Lyro responds against its AI quota; returning after the documented inactivity interval can create another counted thread. Estimate usage from that definition, not from unique customers alone.

Test a complete request, including the part that can fail

Use the same small set of representative requests for each candidate. Include common questions, an unpublished price, a policy exception, an ambiguous request, a request for a person, and a tool connection that fails. Prepare the expected answer, permitted action, and destination record before testing. Otherwise a fluent response can make an incomplete workflow look successful.

For each case, record whether the answer is supported, whether it preserves the condition, whether the action happened, and whether the person responsible received the context. Treat an incorrect promise or unauthorized action as a failure even when the conversation looks smooth. A narrow trial can establish fit for the tested scope; it cannot establish universal reliability.

  • Knowledge: can the agent identify that a requested price or exception is not approved?
  • Handoff: can the visitor reach a person without repeating the entire request? What happens after hours?
  • Action: does the booking, ticket, or CRM record exist in the destination system?

A supported connector is not a completed customer handoff

Intercom's external-support handover guide describes a workflow that collects details, closes the Intercom conversation, and calls another tool's API to create a ticket. Its documentation explicitly notes that authentication errors, timeouts, rate limits, or missing information can prevent ticket creation. That is why seeing a connector in a feature list is only the beginning of the evaluation.

Our recommendation is to require a visible destination record and a failure path before calling a connection complete. Confirm what information moves, which system owns the request, how retries avoid duplicates, and how an owner learns that delivery failed. An agent saying it has contacted the team is not sufficient evidence that the team received anything.

Compare full cost and customer outcomes separately

Build an estimate with the platform subscription, human seats, AI usage, channel charges, connection work, and ongoing review. Use the vendor's exact billing unit: conversations, resolutions, and other outcomes are not equivalent. Check minimum commitments, overage behavior, hard limits, renewal terms, and what happens when the allowance runs out. Keep the estimate separate from any introductory trial.

Measure what happened to the customer alongside what the platform billed. Was the request answered correctly? Did a promised action complete? Was the handoff received? Did someone return because the answer was unhelpful? Compare like-for-like cases instead of treating vendors' published resolution percentages as a league table. Different denominators and definitions can make apparently similar numbers answer different questions.

Keep customer service, sales assistance, and internal work distinct

A support agent may explain a return policy; a website sales assistant may help a prospect describe a project; an internal assistant may prepare a draft for staff. The same product may support more than one role, but each role needs its own information, permissions, acceptance checks, and owner. Do not assume a successful FAQ demonstration proves lead qualification or an end-to-end CRM workflow.
