Why do I still copy information between tools that say they are integrated?

A listed integration may move only certain records or fields, in one direction, or after a particular event. That can be technically connected without completing the workflow your team needs.

Follow a real record between the tools. Check what arrives, what stays behind, whether updates are handled, and what happens when something fails. The answer may be a configuration change, an additional connection, or a simpler process—not necessarily another subscription.

When two tools show different customer details, which one should we trust?

Decide which system is responsible for that particular fact. One tool might own contact details while another records appointments or payments. The newest timestamp alone does not prove that a value is correct.

Make the responsibility explicit before automating updates. Test a realistic change and check whether the other tools reflect it as intended. Otherwise, connecting systems can spread a disagreement faster instead of resolving it.

What should I check before moving customer records to another CRM?

Check what you can export, what the new tool can accept, and what your team must still be able to find afterward. Contacts alone may not include the notes, attachments, history, or relationships that make the records useful.

Test a small, representative sample before a full move. Compare what left the old system with what arrived, decide how duplicates will be handled, and keep a recoverable copy. Separate choosing new software from proving that the records can move successfully.
