AI can make your business tools easier to search and use. It does not automatically fix bad records, unclear numbers, broken handoffs, or unsafe access.

Before you add an AI assistant, choose one real job. Then check the information and rules below it. This will show whether AI can help now or whether the business needs a simpler repair first.

## A helpful AI screen is not the same as a repaired system

An AI assistant can let a person ask a normal question instead of opening several tools. It may find files, summarize notes, draft a reply, or prepare a task.

That changes how a person reaches the information. It does not always change the information itself. If two tools disagree about a customer or sale, the AI still has to choose between those records.

Ask what changed

Did AI fix the records and work below it, or did it only add an easier way to ask questions? Either result can be useful, but they are not the same.

## A smooth answer can still be wrong

AI often writes in a clear and confident way. This can make mixed or incomplete information sound more settled than it is.

Some AI systems use retrieval. Retrieval means finding selected source material before writing an answer. This is often called grounding because the answer is tied to chosen sources.

Grounding can help, but it does not remove every mistake. The source may be old, unclear, incomplete, or wrong. Research also shows that an answer can add a claim that its retrieved source does not support.

For important answers, show the source and let a person check it.

## Check the four layers behind the AI

1. The screen

What can the person ask, see, or approve?

2. The sources

Which files, records, and tools can the AI use?

3. The meaning

How are words such as lead, customer, sale, and revenue defined?

4. The action

What can the AI change, send, create, or delete?

A good-looking chat window only shows the first layer. The other three decide whether the system is useful and safe.

## Control what the AI can see

Permissions are rules about who can see or change information. An AI system should not make private information available to someone who could not open the source.

Do not assume a connector will keep every source permission. Products and settings differ. Check the current instructions and test with people who have different roles.

- Which sources can the AI search?
- Does it follow the source access rules?
- Can a worker see why a source was included?
- What happens when access is removed?
- How quickly do changed or deleted files disappear from answers?

## Define important words before asking important questions

A business may use “revenue” to mean booked work, invoices sent, or money received. If the definition is unclear, an AI answer may mix these numbers.

Start with the questions people will ask most. Write the plain meaning, the right source, the important date, and any limits beside each one.

Test normal questions and unusual cases. Include cancellations, refunds, duplicate customers, missing values, and late updates. Keep the approved answers and examples current.

## Give the AI only the actions it needs

Reading a record is different from changing it. Drafting an email is different from sending it. Preparing a refund is different from approving one.

Start with the smallest useful action. Let a person review work that can affect money, customers, access, legal duties, or important records.

- Which action is allowed?
- What must a person approve?
- Can the action be undone?
- Is there a clear record of what happened?
- Who stops the system when it behaves badly?

More freedom is not always more value. A narrow system that does one job well may be safer and easier to measure.

## Use this AI readiness test

1. Name one job in one sentence.
2. Name the people who will use or be affected by it.
3. List the exact sources the job needs.
4. Check record quality, definitions, dates, and access.
5. Choose what the AI may read and what it may do.
6. Set the points where a person must review the work.
7. Choose examples that show a good and bad result.
8. Plan how to monitor, pause, and remove the system.

If the team cannot answer these questions, repair the missing foundation before giving the AI more access or power.

## AI helps when the job and information are clear

Good starting uses may include:

- Finding an approved answer in a known set of documents
- Summarizing a customer record for a worker to review
- Drafting a reply from approved facts
- Sorting a document into a review queue
- Preparing a next step without taking the final action
